Lovington - Branch Administrative Assistant


In the Branch Administrative Assistant role, you will handle order processing, shipment coordination, and customer interactions such as taking orders and resolving complaints. Responsibilities include receiving product shipments, managing inventory counts and discrepancies, ensuring billing accuracy and compliance with credit policies, and performing daily office tasks like bank deposits and filing. The role also involves chemical purchasing, communication with corporate teams, and maintaining knowledge through continuing education.

Key Responsibilities

  • Follow all established personnel and safety policies and procedures.
  • Customer service including dispatching and processing orders as well as resolution of customer complaints.
  • Assist with inside sales, follow up on leads, and work with existing customers to promote and increase business.
  • Prepare motor fuel reports and maintain federal and state exemption certificates.
  • Aid in the reconciliation of energy inventory and maintain energy volume reports.
  • Track and maintain records of all contract sales and leases for propane and refined fuel tanks.
  • Pull data for company motor fuel sales tax reporting.
  • Assist in departmental allocation of energy products used by the company.
  • Receive incoming product shipments against open Purchase Orders
  • Inventory control, monthly reporting, and counting of inventory.
  • Ensure that all products and services at the location are accurately billed and within the company credit policy.
  • Completion of daily office work in a timely and accurate manner; including but not limited to bank deposits, billing and filing.
  • Communicate with the corporate accounting office and crops logistics coordinator to follow all SOP’s in the account for all products the location handles.
  • Attend continuing education courses to maintain an adequate level of knowledge for the products and administration involved.
  • Responsible for all package chemical and cash & carry chemical purchases.

Required Knowledge, Skills, and Leadership Characteristics

  • High School Diploma or GED. Associate degree in Agriculture or Accounting preferred
  • Strong time management and organizational skills
  • Self-Motivating personality as well as team building skills
  • Proficient in Microsoft Office including Excel, Word, and Outlook
  • Demonstrates ability to work effectively without direct supervision
  • Demonstrates ability to interact effectively with management, employees, and customers
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Strong verbal and written communication skills

Work Environment

This job operates in both an office and warehouse atmosphere. The nature of the business may require extended hours.

Travel

The employee may be required to travel to other facilities in The Equity trade area, conferences, educational opportunities, and other jo-related activities.
